Overview
The Advising Plan admin page provides the ability to track whether or not an advising plan has been filed for a student. If a student has an advising plan hold, it is automatically removed when an advising plan is entered into Banner.
The Advising Plan admin page is available for use by all faculty and staff involved with the advising of students.
Accessing the Advising Plan Admin Page from Banner
You may access the page using the Southern Oregon University menu or Search.
Accessing the Page Using the Southern Oregon University Menu
- Log into Banner.
- Click on the Applications icon
on the left navigation bar. - Expand the Banner menu.
- Expand the Southern Oregon University menu.
- Expand the Faculty menu.
- Expand the Advising menu.
- Select Advising Plan (ADVPLAN).
Accessing the Page Using Search
- Log into Banner.
- Start Typing “advp” into the Search box on the main Welcome screen.
- This will pull up a list of items that have “advp” in the name. Select Advising Plan (ADVPLAN) from the list.
Entering/Viewing Advising Plans for a Student
To enter or view an advising plan for a student, select the Advising Plan admin page (ADVPLAN). The Advising Plan admin page allows the entering/viewing of advising plans on student accounts. The Advising Plan admin page is divided into two sections of data separated by horizontal lines. The upper block (Key block) contains the “key” information to identify the student you wish to enter or view an advising plan for. The lower block (Advising Plan Detail block) contains a list of the advising plans the student has filed.
You may access the Advising Plan Entry Form from the Advising menu in Banner or by typing ADVPLAN into the Direct Access box in Banner.
Key Block (Page 1 – Block 1)
The Key block specifies which student you are working with. All fields in the Key block are required. Enter the following information:
Student ID: ID that identifies the student in Banner. Enter the ID of the student. If you do not know the ID, you may tab to the next field and enter a full or partial name or you may choose Help/List from the menu bar to do a search.
Student Name: Name associated with the student ID. If you have not entered an ID, enter the full or partial name of the student in the format of “Last, First”. A % may be used as a wildcard (i.e., Enter Smith, Ja% to search for a student with the last name of Smith and a first name starting with the letters Ja).
Once you have successfully selected a student, choose Block/Next from the menu bar to move to the Advising Plan Detail block or use the mouse to click into the block. Information will be displayed for the student entered in the Key block.
Academic Standing Block (Page 1 – Block 2):
The Advising Plan Detail block contains a list of advising plans the student in the Key block has filed. The Advising Plan Detail block contains the following information:
Advising Plan Code: Advising plan code filed for the student. Choose Help/List from the menu bar for a list of valid codes. This field will default to AA, the plan code used for undergraduate students.
Advising Plan Description: Description associated with the advising plan code. This field is automatically filled in upon the entering of a valid advising plan code. This field may not be overwritten.
Advisor ID: ID that uniquely identifies the advisor in Banner. Enter the ID of the advisor the student is filing their advising plan with. If you do not know the ID, you may tab to the next field and enter a full or partial name or you may choose Help/List from the menu bar to do a search.
Advisor Name: Name of the advisor associated with the advisor ID. If you have not entered an advisor ID, enter the full or partial name of the advisor in the format of “Last, First”. A % may be used as a wildcard (i.e., Enter Smith, Ja% to search for an advisor with the last name of Smith and a first name starting with the letters Ja).
Date Plan Filed: Date the advising plan was filed. The date must be in the format ‘DD-MON-YYYY’. This field will default to today’s date when an advising plan is first entered but you may overwrite it. This field is required. Note: You can enter a smaller portion of the date and then hit enter. The system will then fill in the missing parts of the field with the current month and/or year for you.
Date Next Plan Due: Date the next advising plan is due. The date must be in the format ‘DD-MON-YYYY’. This field will default to one year from the date plan was filed. You may make the the due date sooner if you would like to meet with the student more frequently.
To enter a new advising plan, ensure that you have a blank record. If the record is not blank, choose Record/Insert from the menu bar to enter a new record. Enter all required information. All fields in this block are required.
To update an existing record, use the scrollbar or the down and up arrow keys to move through the records until you locate the record you want to edit. Edit any fields as needed.
Choose File/Save from the menu bar to save any changes you have made. Choose File/Rollback from the menu bar to return to the top of the form. Choose File/Exit from the menu bar to exit the form. Remember to save any changes before doing a rollback or exiting the form.
